How Admins Can Use These Insights

Accessing the Dashboard

To open the Usage Analytics Dashboard:

  1. Log in to Foxit DMS.
  2. Navigate to Insights from the left-hand navigation panel.
  3. Select Analytics.

The dashboard will load using the default reporting period (7 Days). You can change the date range using the dropdown at the top right of the page.

Dashboard Overview

The dashboard is broken into a few key sections.

Summary Metrics

The top of the dashboard gives a quick snapshot of overall usage. This includes active users, total actions completed, and whether usage has increased or decreased compared with the previous period.

This is useful for checking whether engagement is improving, staying the same, or dropping.

Engagement Depth

Engagement Depth shows how actively users are working in DMS. It includes details such as average actions per user, how often users return, and the most common action completed during the selected period.

This helps admins understand whether users are only logging in occasionally or using DMS as part of their regular workflow.

Engagement by Category

User activity is grouped into four main categories:

  • Content Creation: Includes actions such as uploading files, creating folders, creating documents, and using templates.
  • Collaboration: Includes actions such as sharing files, folders, or templates.
  • Search & Retrieval: Includes actions such as searching for documents and downloading files.
  • Lifecycle Management: Includes actions such as editing metadata, restoring versions, renaming items, and using PDF tools.

These categories make it easier to see how users are using DMS, instead of only looking at individual actions.

For example, strong Content Creation activity may show that users are adding documents, while low Collaboration activity may suggest they are not yet sharing or working with others in DMS.

Storage Usage

The Storage Usage section shows the amount of storage currently used by the organization and whether uploads are currently available.

Admins can use this to monitor storage growth and review whether any clean-up or storage planning is needed.

Note: Foxit DMS provides unlimited storage. The Storage Usage metrics are intended for visibility and reporting purposes only. For DMS accounts where the associated base subscription has expired and the storage allocation has been downgraded to 1 GB, the Storage Usage section can be used to monitor available storage capacity.

Category Distribution

Category Distribution shows how activity is spread across the main usage categories.

This helps admins spot patterns. For example, if users are uploading a lot of files but rarely searching, sharing, or managing them, it may show that DMS is being used mainly for storage rather than as a full document management system.

Action Breakdown

The Action Breakdown table gives a more detailed view of the specific actions users are completing.

This includes actions such as:

  • File uploads
  • Document downloads
  • Searches
  • File sharing
  • Metadata changes
  • PDF tool usage

This section is useful when admins want to understand exactly which features are being used most often and which ones may need more enablement.

How Admins Can Use These Insights

Admins can use the dashboard to make practical decisions about adoption, training, storage, and user engagement.

For example:

  • If active users are low, admins may need to follow up with inactive users or provide additional onboarding.
  • If upload activity is high but sharing is low, users may need guidance on collaboration features.
  • If search activity is low, users may need help understanding how to find and retrieve documents.
  • If storage usage is growing quickly, admins may need to review storage limits or clean-up processes.
  • If certain features are rarely used, admins may need to provide training or highlight those features to users.

Overall, the Usage Analytics Dashboard helps admins understand how DMS is being used and where improvements can be made. It gives a practical view of adoption, engagement, and feature usage so teams can get more value from Foxit DMS.
