Limited Document Visibility
Explains the Limited Document Visibility setting in Foxit DMS and how it restricts who can see certain documents.
Answer
Limited Document Visibility (LDV) ensures that signers can only view the documents within an envelope that contain fields (such as signature, initials, or data entry fields) assigned specifically to them.
This feature enhances document confidentiality by restricting access to only the documents relevant to each signer.
- Availability
- Where to Configure LDV
- Document Visibility Preference (Post-Signing)
- When LDV Applies
- Signature Certificate Behavior
- Why Can’t I See Certain Documents?
- It is disabled by default for all accounts.
- Only Account Admins can configure this setting once enabled.
- If you are interested in enabling LDV for your account, please contact your account manager or support team.
Note: This feature is available only for eSign Business accounts.
Where to Configure LDV
After the feature is provisioned, Admins can configure it under:
Settings → Sending/Signing → Limited Document Visibility
You will see:
Enable Limited Document Visibility
- Yes – Activates LDV rules
- No (Default) – LDV is disabled
By default, this setting is set to No.
Document Visibility Preference (Post-Signing)
This controls what recipients can see after the envelope is completed.
Admins can choose one of the following:
Option A
Signers will only see files containing signature, initials, or data entry fields assigned to them
- LDV continues even after completion.
- Signers only see documents relevant to them.
- Highest level of confidentiality.
Option B
All recipients will have access to all documents in the envelope after completion along with the signature certificate
- LDV applies during signing.
- After completion, all recipients can see all documents.
- More collaborative transparency after execution.
When LDV Applies
LDV activates only when both conditions are met:
- The envelope contains multiple recipients
- The envelope contains multiple documents
If either condition is not met, LDV will not apply.
Participant Visibility
Sender
- Can view all documents at all times.
Signers
During Signing
- Can only see documents that contain at least one assigned field.
After Completion
- Visibility depends on the selected Post-Signing preference.
CC Recipients
- Can view all documents.
- LDV restrictions do not apply to CC recipients.
Signature Certificate Behavior
When LDV is enabled:
- A signer’s downloaded certificate will include only the documents that were visible to them during signing.
- If Post-Signing is set to allow full access, the certificate will reflect the final visibility rules.
- CC recipients will receive a certificate including all documents.
Example Scenario
Envelope contains:
- Document 1 → Assigned to Signer A
- Document 2 → Assigned to Signer A and Signer B
Visibility:
- Signer A → Sees Document 1 and Document 2
- Signer B → Sees only Document 2
Limitations
- Not applicable for Notary workflows
- Self-signing not supported
- Page-level visibility is not supported (documents must be split if needed)
- Applies only to multi-recipient, multi-document envelopes
Why Can’t I See Certain Documents?
If you cannot see all the documents in an envelope:
- LDV is likely enabled by the sender’s organization.
- Documents without assigned fields for you are intentionally hidden.
Please contact the sender if you believe you require access.
