Frequently Asked Questions (FAQ)

What are Foxit Connectors?

Foxit Connectors enable seamless integration between Foxit eSign and external platforms, allowing you to automate document workflows and store completed agreements in your preferred file storage solution.

By using Foxit Connectors, you can:

  • Populate document templates with external platform data.
  • Streamline sending workflows by pre-filling recipient information.
  • Automatically store executed documents in the correct location (File Storage and ATS Connectors only).
Who can use Foxit Connectors?

Foxit Connectors are available as an add-on for users and organizations with an active Foxit eSign subscription.

  • Super Admins can set up and manage Connector settings.
  • Regular users can access and use templates with Connector functionality, send documents, and store executed files in external platforms.
  • Trial users cannot access Foxit Connectors.
How do I use Connectors in a Template?

Templates with external platform data must be setup by a Super Admin. Once setup, they are available in the Templates section of Foxit eSign.

To access and use a template:

  1. Create a new Envelope from a template which your admin has setup, or navigate to Templates in the Foxit eSign dashboard and find the relevant template.
  1. Enter the recipient information.
  1. Click ‘Send’.
How do I preview that the template is pulling the correct information before sending?

Before sending a document, you can preview the populated data to ensure accuracy. The document preview will automatically popup before you finally send the invitation to sign email.

To preview a template with external platform data:

  1. Select the template you wish to send.
  1. Enter recipient details. If the recipient exists in the external platform, mapped fields will automatically populate.
  1. Click Preview to generate a draft view.
  1. Review the document for accuracy, ensuring all fields are correctly filled.

If incorrect or missing data appears:

  • The recipient exists in both eSign AND the external platform
  • The recipient has the relevant data filled in the external platform.
  • The external platform is still connected in Settings > Connectors. If you do not have access, please ask a Super Admin to confirm this.
  • Field mapping has been correctly set up for the template. If you do not have access, please ask a Super Admin to confirm this.
  • If external data is hidden, the admin may have enabled sensitivity settings. Please confirm with your eSign Super Admin.
How do I send in bulk?

Foxit eSign allows you to send documents to multiple recipients simultaneously using bulk sending.

To send in bulk:

  1. Navigate to the Templates tab.
  1. Select the template you want to use.
  1. Click Send in Bulk and select a group of users that has been setup or imported from an external platform.
  1. Click Preview to verify the data. Note: only one recipient's data will be previewed when sending in bulk.
  1. Click Send to distribute the document to all recipients.

Bulk sending requires valid recipient data. If an error occurs:

  • Ensure all recipients exist within both the eSign platform and external platform.
  • Confirm that external platform data is properly mapped.
  • Ensure all recipient data is valid on the external platform.
Where do my executed files save to in the external file storage platform?

Completed documents are automatically saved to the folder designated by a Super Admin in the connected external platform.

To locate executed documents:

  1. Navigate to the external platform (e.g., Google Drive, SharePoint, Box).
  1. Open the folder specified in the Connector settings.
  1. Locate the signed document. File names may include a prefix or timestamp for easy identification.

If a document is missing:

  • Confirm that the external platform connection is active in Settings > Connectors. Note: if you cannot access this setting, please check with your eSign Super Admin.
  • Check whether the default save location has changed.
  • Verify that the document has completed the signing process.
Frequently Asked Questions (FAQ) How do I refresh external platform data in a template?

Templates automatically pull data when recipients are added. If updates are needed, clear and re-enter the recipient’s email to trigger a data refresh, or ask your eSign Super Admin to re-sync contacts and groups.

Can I modify where executed files are stored?

Yes. Super Admins can change the default save location in Settings > Connectors.

What should I do if my document is missing from the external platform?

Check that the external platform connection is still active, verify the default storage folder, and ensure the document has fully completed the signing process.

Can I send documents without using external platform data?

Yes. Templates can be used with manually entered recipient data if no Connector is available.

Can I purchase additional connectors to use?

If you are an eSign Super Admin, you may purchase and configure all Connectors and settings. If you do not have this access, you cannot purchase or modify any Connectors.
